New Incoming invoice processing workflow combines applications from KGS and ABBYY

KG a leading global partner of automobile manufacturers and system suppliers with more than 4,200 employees, has now introduced a solution of KGS for SAP archiving and invoice processing. The previous ECM and archiving system was replaced by the KGS ContentServer4Storage, for data transfer chose Röchling the KGS software Migration4ArchiveLink.
1800 SAP users at Röchling Automotive use the new SAP archive of KGS to store all SAP-related inbound and outbound documents, including delivery notes, invoices, data archiving objects, etc. as well as incoming invoices. Rather than opting for a third-party solution, Röchling chose to implement the fully SAP-integrated archive technology from KGS. The new incoming invoice processing workflow combines applications from KGS and ABBYY, so both partners jointly implemented the project.
Seamless Monitoring of the Migration Process
Röchling transferred their data from the legacy archive to KGS ContentServer4Storage Automotive in mid-2015 using KGS Migration4ArchivLink, a tool that facilitates easy and controlled SAP archive migrations. A total of 750 GB of data was involved. The migration was completed without any data loss and with virtually no impact on the users’ daily work. “The software allowed us to seamlessly check whether all objects had been transferred correctly,” attests Vivien Rebsdat, IT Manager at Röchling.
Solution for Incoming Invoice Capture
As regards incoming invoices, Röchling aims to process and place them in the SAP archive as quickly as possible so that electronic release workflows can be launched from there in due time. The recognition rates of the previous solution used at Röchling were less than perfect. For this reason, the company changed over to scan clients and implemented the ABBYY FlexiCapture enterprise capture platform from KGS partner ABBYY. KGS DocumentRouter takes the PDF files and invoicing data extracted by ABBYY and directly delivers them to the corresponding SAP workflows for further processing. Röchling uses KGS ScanClient to perform all other scanning and archiving tasks that do not require invoice capture and classification.The KGS ZADOC component is employed for debtor processing. It allows users to archive and assign attributes to non-SAP invoices based on WebDynpro technology. The simple customizing process delivered by KGS ZADOC makes it easy to define attributes to set up different document types. As KGS ZADOC manages document-related meta data, it significantly augments the existing SAP search options at the automotive supplier. The tool also allows Röchling to implement sophisticated filing scenarios.
